Maintaining the Copier Can Save Money

Offices contain several pieces of equipment that allow employees to produce documents in hard copy. It is true that many businesses are attempting to limit the amount of printing that workers do. However, these efforts have mostly been unsuccessful. Office supplies are expensive, and while companies continue to print or copy, business managers should be knowledgeable about the best ways to limit wasteful consumption.

The copier is a valuable device within an office. It is expensive as well as useful. Employees are able to circulate hard copy files with ease since modern devices can produce copies in minimal amounts of time. Each year, manufacturers produce and sell new versions of their products. According to Hewlett-Packard, success is often defined by a device's page-per-minute speed.

Recent data suggests that the average copier in the U.S. produces fewer than 8,000 pages a month, which is far less than the capabilities of products advertised by most manufacturers. Companies can cut costs by avoiding the pressure to upgrade machines that are lacking in speed. Most copiers simply aren't used enough in an average year to require annual upgrades.

Companies that use copiers need to keep them running efficiently. The best way to do this is by performing regular maintenance checks. Taking the time to clean machines and install the proper ink supplies can make all of the difference in how they operate. However, one common mistake many office managers make is purchasing cheap toner. Sometimes when attempting to save money, employees fail to buy a compatible toner cartridge. The more careful a manager is when purchasing office supplies, the more useful their budget will become.

Managers who incorrectly clean paper jams cause toner dust to accumulate in the machine. When there is an abundance of particles piled up inside a copier, it causes streaks to form over printed pages. All toner cartridges drop small amounts of toner into the machine and if left unattended, could cause major problems down the line. In order to keep a machine running, managers need to clean the copier once every few months. The best way to go about doing this is by carefully vacuuming out these accumulated particles.

Additionally, managers should keep the glass window clean as well as properly remove ink cartridges once they have been drained. Improperly removed copier ink will disrupt the distribution of ink for future cartridges. A copier may be a sturdy machine, but if improperly kept, it can break just like every other piece of technology.
